Search and Filter

Search in the list view

To search/filter the current table, you can open the search window by doing one of the following:

  1. Go to [edit -> search] in the menu
  2. Click on the magnifying glass icon in the menu at the top right
  3. Click on the magnifying glass icon next to the search bar
  4. Enter a value in the search bar and press ENTER
  5. Enter one or more values in the search bar above the corresponding attributes (table columns) and press ENTER

If a search is currently active in the table, a “!” is displayed in the search bar next to the letter symbol.

Detail search

With 1., 2. or 3. the detailed search window appears in which the search criteria can be entered.

Input field

The attribute (table column) to be searched/filtered can be selected in the input field. One or more attributes can be selected for the search. To do this, each attribute must be added via the input field. Suitable suggestions are made for the input. As soon as an attribute has been added to the search, the following restrictions can be made for each attribute:

  • Add further restriction for an attribute (“+”)
  • Attribute name (was selected by entering it in the “Show fields” field)
  • Search options
  • Invert search (“!”)
  • Case sensitive (“A”)
  • Input field for searched value
  • Delete restriction (“x”)

Restrict attributes for the search

Once the appropriate attributes have been selected, one (or more using the “+” icon) restrictions can be selected for an attribute. If several restrictions are to apply to an attribute, there are several linking options to choose from.

For each restriction of an attribute, the search options can be used to determine what must apply. For example, whether the attribute value searched for in the table must be smaller than a certain value or must contain something specific.

Another way to restrict the search is to use the “!” symbol and the “A” symbol. If there is a tick next to the “!”, everything that corresponds to the opposite of this restriction is displayed. If there is a tick next to the “A”, the search is case-sensitive.

The value you are looking for can be entered in the input field on the right. The Fig. Example of input fields for searched values is a section of the input fields from the previous example. Depending on the type of attribute, you can search for letters, words and numbers. Combined with the search options, “!” and “A”, the searched value restricts the search for an attribute.

Use the red cross on the right to delete a restriction (line) from the search.

Global link

The global link determines whether the restrictions should apply to all attributes or whether the restrictions should apply to at least one of the attributes.

Reset search

If “Reset search” is clicked, all search criteria are deleted, the search window is closed and the entire table is displayed.

Search

When “Search” is clicked, the search is carried out on the table and all entries that meet the search criteria are displayed.

Search template

To save the search for later use, click on the cogwheel symbol next to the “Search selection” field, give the search a name in the input field and then click on save. For a later search, a selection field now appears in which a previously saved search can be selected.

Close window

The window is closed by clicking on the cross in the top right-hand corner of the window. If “Search” has already been clicked once, the restrictions of the last search will appear when the search is reopened. Closing the window does not reset the search.

Search in the table search bar

Any number of values can be entered in the search bar of the table to be searched for. These values are linked with OR, which means that at least one of these values must be contained in the attribute value. The search is executed by pressing ENTER. Each attribute is then searched/filtered for these values and all data records to which this search applies are displayed. If several of the values searched for are present in an attribute value, the corresponding data record is displayed as often as the values match. The search is automatically transferred to the detailed search.

Each attribute can be searched/filtered directly by entering a value in the search bar of the respective attribute. The search is carried out by pressing ENTER and all data records to which this search applies are displayed.

Filter

Filters make it easy to restrict tables to the most necessary information. A filter determines which attributes (columns of a table) are to be displayed. It is also possible to directly display only entries that match certain values (e.g. “Name” begins with “A”).

Filters can be created, applied, administered, published and deleted in different ways. This is possible via the table menu, the filter bar and the detailed search.

Filter as admin

Under [admin -> Setup -> Filter], the admin can create, administer, publish and delete filters. For more details, see Filters and search templates.

Create filter

Where?How?
Table menuA filter can be created in a table in the menu under [Extras -> Filter -> Save as]. The filter must be named. The currently applied search is saved as a filter.
Filter barIn [Filter bar -> Funnel symbol -> in the input field next to the “+” symbol], you must give the filter a name and then click on “Save as”. You can rename an existing filter by clicking on “overwrite”.
Detail searchIn the detailed search next to the funnel symbol, click on the cogwheel symbol and then enter a name for the selected search to save it as a filter. To save, click on the save icon.

Table menuAn existing filter can be applied in the menu under [Extras -> Filter -> Filter 1]. Filter 1 is an example of a filter.
Filter barIn the filter bar, you can select an existing filter and apply it to the table.
Detail searchYou can select an existing filter in the detailed search next to the funnel symbol.

All filters and search templates for all tables (Fig. a1)/the selected table (Fig. a2) are displayed. The funnel symbol describes a filter and the magnifying glass symbol describes a search template. The following can be done with each of these filters and search templates:

  • Rename: Click on Name, rename and press ENTER
  • Display in the table: Click on grid icon
  • Delete: Click on the trash can icon and confirm the message
  • Publish: Click on the human icon (see Publish filter)
